Reporting to the Assistant Vice President, the Director of Licensing & Contract Services oversees the University Trademark & Licensing program including the marketing and strategic planning of contracted services and trademark & licensing function for emblematic merchandise. Acts as the department s liaison with the Morningside and Irving Medical Center contracted services which includes Columbia Bookstores, Banks & Cafes, Off Campus Flex, Campus Services contracted vendors, and licensing agent. Responsibilities Maintains relationships with multiple vendors to ensure compliance to negotiated contract terms, review of monthly and quarterly reports and approving invoices. In addition, based on independent research, recommends other viable alternatives to services to meet the needs of the University as they arise while maintaining a focus on quality as well as reducing operating costs. Responsible for the University s contractual relationship with related vendors including the negotiation of terms, pricing and service level agreements. Maintains contract vendor files and ensures financial controls. Reviews all division contracts working closely with the General Counsel to ensure contracts meet University standards. Researches the marketplace, consistently tracking contract service trends and developing a long-term strategic plan for retail services to increase both profitability and customer service levels. Collaborates with the operational leadership team by providing expertise (or direct support when necessary) on managing the client/vendor relationship when issues regarding contract adherence, and/or service and quality arise. Maintains contract vendor files and ensures financial control Develop and Manage Request for Proposals for peer departments, providing guidance and collaborating with the peer departments leaderships when developing a strategic plan, when needed, alongside the Procurement Team. Controls the use of the Columbia trademark and logo on apparel and gifts ensuring compliance with University regulations concerning fair labor practices of contracted vendors. Develops and directs the implementation by the licensing agent of the program Independently applies knowledge of brand integrity and guidelines to ensure that the University s brand identity, including trademarks, logos, seals and other marks are properly represented on products and services marketed to the public. Manages submittals by licensed vendors for design review. Autonomously approves or denies the submission, bringing only the most difficult cases to the attention of the AVP. Create and implement a more robust trademark and licensing guide and website, including but not limited to policies and guidelines updates. Evaluate and approve artwork for promotional merchandise for University departments, centers, recognized student organizations and athletic groups. Counsel and guide internal groups on the appropriate artwork for promotional merchandise Monitor receipt of samples, artwork, and merchandise selection at local retail outlets and ensure appropriate merchandise is carried and displayed properly. Manages processes for enforcement against the illegal use of trademarks, logos, seals and insignia. Reports illegal use to the appropriate parties. Support the Office of General Counsel in the maintenance of the University's trademark registrations including monitoring, specimen collection, enforcement and renewal. Minimum Qualifications Bachelor s degree required, advanced degree preferred. Five to seven years of related experience is required. Strong written and oral communication skills. Demonstrated ability to balance the needs of numerous and varied operations and related departments simultaneously. Strong strategic/analytical ability. Experience in developing business plans or budgets or cost/benefit analysis. Proficient in Word and Excel. Preferred Qualifications Experience in one or more of the following disciplines is strongly preferred: retailing, merchandising, contract management, business management, financial or asset management, brand management, trademark licensing, or administrative services.
